Privacy Policy

OralAI provides AI phone answering and related software for dental practices. This policy explains how OralAI (“we,” “us”) handles personal information about visitors to oralai.com, people who contact us or request a demo, people who call or text our demo line, and the staff of dental practices that use our services.

Patient information is handled differently

When a dental practice uses OralAI to answer its phones, we handle information about the practice’s patients and callers on the practice’s behalf, under our agreements with the practice, including a HIPAA business associate agreement for US practices. That information is governed by the practice’s own privacy practices, not this policy. Callers to practices that use OralAI are told that they are speaking with an AI assistant and that the call is recorded. If you are a patient, please contact your dental practice with any questions or requests about your information. We will help the practice respond.

Information we collect

Information you give us. Your name, work email, phone number, practice name and details (such as locations and the phone and practice management systems you use), and anything you tell us in messages, calls, meetings, or support requests. If your practice becomes a customer, we also collect account details for staff users and billing contact information. Payments are handled by our payment processor, and we do not store full card or bank account numbers.

Demo line and demos. If you call or text our demo line or talk to a demo on our website, an AI assistant answers, and the conversation is recorded and transcribed. We collect your phone number (if you call or text) and what you say or send. Please do not share real patient information during a demo.

Information collected automatically. When you visit our website, we and our analytics providers collect information such as your IP address, browser and device type, pages viewed, links clicked, referring pages, and how you interact with the site. We use cookies, local storage, and similar technologies to do this. Our analytics tools may record how you interact with our pages, such as clicks and scrolling, with anything you type into forms hidden.

Information from others. We may receive your contact and practice details from partners who refer you to us, such as trade-show and referral partners, and we may use publicly available business information, such as your practice’s website.

How we use information

We use personal information to:

• respond to you, give demos, and set up and provide our services;
• send service messages, such as call alerts, account notices, and billing messages;
• send you news and offers about OralAI, which you can opt out of at any time;
• understand and improve our website and services; and
• protect our services, prevent fraud and abuse, and comply with the law.

How we share information

We share personal information only:

• with service providers that help us operate, such as hosting, analytics, communications, scheduling, and payment providers, under contracts that limit how they may use it;
• with a partner that referred you to us, to confirm the referral;
• when required by law, or to protect the rights, property, or safety of OralAI, our customers, or others;
• in connection with a merger, acquisition, financing, or sale of assets, subject to this policy; and
• with your consent.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Text messaging. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. The sharing described above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Cookies, analytics, and Do Not Track

You can block or delete cookies in your browser settings, and our website will still work. We do not use advertising cookies, and we do not allow advertising networks to collect information about your activity across other websites through our site. Our website does not currently respond to “Do Not Track” browser signals.

Text messages

If you sign up for text alerts or ask our demo line to text you, we send messages related to that purpose. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Our Website Terms have more detail.

How long we keep information

We keep personal information for as long as we need it for the purposes above, generally for as long as you have a relationship with us and for a reasonable period afterward for record-keeping, legal, and security purposes. We then delete or de-identify it.

Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure.

Your choices and rights

You can ask us to access, correct, or delete your personal information by emailing hello@oralai.com. You can unsubscribe from marketing emails using the link in any email and stop texts by replying STOP. Depending on where you live, you may have additional rights under local law, including in Canada and some US states, and we will respond to requests as those laws require. We may need to verify your identity before acting on a request. We will not discriminate against you for exercising your rights.

Where information is stored

OralAI is based in the United States. We store information in the United States, and our service providers may process it in other countries. Wherever it is stored or processed, it may be accessible to the courts, law enforcement, and national security authorities of that country. If you are in Canada, you can contact us with any privacy question or concern, and you may also contact the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner.

Children

Our website and services are for businesses and are not directed to children. We do not knowingly collect personal information from children under 16 through our website.

Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new “last updated” date, and if the changes are material, we will notify customers by email or through our services.
